A leading international insurance company is urgently seeking a Bid Proposal Management Associate. In this job, you are required to have experience with working in a professional services organisation for RFP and bid proposals. Experience in creative writing or copywriting, graphic design, information design, multimedia and APMP accreditation is an advantage.
About the Bid Proposal Management Associate Role:
Your primary role is to provide bid management and proposal development support to any business-approved opportunities for the human capital and benefits (HCB) segment which includes but is not limited to retirement, health and benefits, and global services and solutions businesses. You will coordinate and manage proposals/other sales collateral on an assigned basis and work with the sales/consulting team and subject-matter experts in various functions across the company to ensure appropriate strategies are used to accurately meet the objectives of the bid.
Key Responsibilities:
- Take ownership of developing project plans and coordinating/tracking proposal-related activities to ensure all deadlines are met in line with client requirements
- Create the shell/template/strawman of questions for the proposal based on the client's RFP
- Identify resources to support the proposal
- Develop information and generic company content in a way that is relevant to a particular proposal
- Take version control of master copy of proposal document and ensure it is kept up to date with material/input provided by members of the team assigned to work on the bid
- Review proposals for consistency and compliance with RFP
- Schedule necessary reviews of the proposal document and finalise content with the sales lead
- Support ongoing work to maintain a library of proposal boilerplates
- Promote best practices associated with proposal/bid management
- Provide input to post-bid debriefs and contribute ideas as part of ongoing initiatives to improve bid processes and/or the quality of submissions
- Archive submitted proposals and maintain an inventory listing of all completed proposals
- Perform POC role for cross-business/cross-LOB opportunities
To succeed in this Bid Proposal Management Associate role, you must have experience with working in a professional services organisation for RFP and bid proposals. Experience in creative writing or copywriting, graphic design, information design, multimedia and APMP accreditation is an advantage.
Key Requirements:
- Bachelor’s degree in business, marketing, communications, English, journalism or other related field
- Minimum of five years of experience in a bid/proposal management role
- Leadership and presentation skills – ability to influence and gain the commitment of a cross-functional bid team in order to successfully carry out a winning submission
- Working knowledge of web-based sales and RFP response technology solutions such as Loopio, RFP 365, Qvidian, etc., is preferred
- Ability to collaborate and work across all levels of the organisation, work in teams, leverage the resources of other related groups to accomplish common objectives, and work on virtual teams across geographies
- Ability to adapt to shifting priorities, multiple competing demands, ambiguity, and frequent change
- Experience with facilitating meetings and discussions in person and online, ensuring that all viewpoints, ideas, and problems are addressed
- Experience with preparing and presenting information to small and large audiences and of responding to questions from stakeholders at all levels
- Must be flexible with working hours to attend meetings based on demands of the bid
- Excellent communication skills along with strong writing and editing skills is required
- Excellent project management skills is required along with a strong sense of ownership
- Must be able to work on multiple tasks in a fast-paced environment while adhering to strict deadlines
- Good command of MS Word, PowerPoint and Excel. Adobe InDesign experience is an advantage, but not essential
