Onboarding new clients or service providers will see you setting up essential records for brokers or custodians with precision. You will maintain accurate documentation across multiple platforms so that all information remains current and secure. Reporting duties will require you to generate scheduled deliverables that meet formatting requirements before distributing them reliably. By keeping distribution lists updated and checking report consistency, you help uphold the firm's reputation for excellence. Your keen eye for process improvement will be valued as you identify workflow gaps or inefficiencies, suggesting enhancements where possible. Client Service & Communication

  • Monitor and manage the central client coverage inbox, ensuring:
    • Timely acknowledgement of all client emails
    • Clear, professional, and courteous written responses
    • Appropriate escalation of urgent or complex requests
  • Track client requests and follow up to ensure completion within agreed timeframes
  • Maintain a consistently high standard of client communication and professionalism

Operational & Administrative Support

  • Assist with onboarding new clients and service providers
  • Set up and maintain records for executing brokers, custodians, and counterparties
  • Maintain and update client documentation, contact lists, and operational checklists
  • Ensure all client records and documents are accurate, current, and securely stored

Reporting & Deliverables

  • Ensure daily, weekly, and monthly reports are:
    • Generated on time
    • Correctly formatted
    • Distributed to the correct recipients
  • Maintain distribution lists and reporting schedules
  • Perform basic checks to ensure reports are complete and consistent

Process & Office Management

  • Maintain internal trackers, logs, and task lists
  • Help document standard operating procedures (SOPs)
  • Identify gaps or inefficiencies in administrative workflows and suggest improvements
  • Provide general operational and administrative support to senior team members
