Our client is seeking a highly organised and dependable Executive Assistant to provide administrative support to the Country Manager and HR Team. This role is integral to the smooth operations of the Manila office, with responsibilities spanning from general office administration to managing workplace health and safety. The successful candidate will be responsible for administrative duties, demonstrating exceptional attention to detail and a proactive approach to problem-solving.

What you'll do:

As an Executive Assistant, your role will be pivotal in ensuring the smooth operation of our client's Manila office. You will handle a variety of tasks, from managing day-to-day administrative matters to providing business support for the Country Manager. Your excellent organisational skills will be put to good use as you coordinate meetings, prepare reports, manage company contracts, and oversee travel arrangements. Your ability to liaise effectively with all levels of people within the organisation will be crucial in getting work done efficiently. In addition, you will have the opportunity to contribute to the improvement of administrative practices by developing and implementing innovative initiatives.

  • Handle day-to-day administrative and operational matters, including monitoring deadlines and performing general secretarial functions.
  • Provide business support for the Country Manager, including updating and scheduling appointments and meetings.
  • Prepare minutes of meetings, reports, and presentations.
  • Manage domestic and international travel arrangements for business-related matters.
  • Review and develop administrative practices to enhance efficiency.
  • Manage all company contracts and ensure on-time renewal.
  • Coordinate with all levels of people in the organisation to get work done.
  • Develop and implement administrative improvement initiatives.
  • Provide efficient administrative service capability.
  • Observe both global and local policies and procedures in all dealings.
  • Key role in supporting Country Manager and Head of HR

What you bring:

The ideal candidate for this Executive Assistant position brings a wealth of experience in similar roles. With at least 5 years' experience under your belt, you are well-versed in handling projects, events or managing a workplace environment. Your previous interactions with senior leadership have honed your communication skills, enabling you to liaise effectively with various stakeholders. A degree in Office or Business Administration further attests to your suitability for this role. Your advanced proficiency in Word, Excel, PowerPoint, and Outlook will be essential tools in your daily tasks. Fluency in English and the local language is also required.

  • Minimum 5 years working experience in a similar capacity.
  • Experience handling projects, events or workplace environment.
  • Accustomed to dealing with senior leadership.
  • A recognised Degree in Office or Business Administration.
  • Advanced proficiency in Word, Excel, PowerPoint, and Outlook.
  • Fluent in English and local language.
