This role is integral to the smooth running of the HR department, providing comprehensive support across a range of responsibilities. From assisting with recruitment and induction processes, maintaining employee files, supporting payroll operations, to facilitating training and development initiatives, your role will be diverse and essential.

What you'll do:

As a Human Resources Assistant, you will play a crucial role in supporting the HR Manager across all HR functions. Your day-to-day tasks will involve assisting with recruitment processes, coordinating candidate communications, scheduling interviews, and compiling pre-employment requirements. You will ensure that all employee files are updated with necessary documentation. Additionally, you will assist with payroll operations when needed and help roll out performance appraisal processes. Your role will also involve supporting training and development initiatives by maintaining the company's training matrix and plan. Furthermore, you will prepare personnel-related reports, manage employee rotation schedules, check and approve expense reports, and assist in developing the HR section in the company's web-based tool.

  • Assist in the development and maintenance of the HR section within the in-house web-based tool.
  • Assist in sourcing and recruiting skilled employees through various channels.
  • Assist in the rollout and follow-up of performance appraisal processes.
  • Check and approve employee expense reports and invoices.
  • Coordinate communication with candidates and schedule interviews.
  • Contribute to maintaining and updating the company’s training matrix and plan.
  • Maintain accurate and up-to-date employee records with all necessary documentation.
  • Manage employee rotation schedules and arrange travel logistics.
  • Prepare reports related to personnel activities.
  • Support payroll operations and ensure compliance with internal processes.

What you bring:

The ideal candidate for this Human Resources Assistant position brings a strong background in HR or a related field. With at least 2 years of relevant experience under your belt, you are well-versed in various aspects of HR including recruitment, administration, payroll operations, performance appraisals, training and development. Your proficiency in MS Office applications such as Word, Excel, PowerPoint, and Outlook will be invaluable in this role. Your excellent interpersonal skills enable you to communicate effectively with candidates, employees, and management alike. Your strong organisational skills allow you to manage multiple tasks and deadlines efficiently. Your written and oral communication skills are top-notch, and you are fluent in English.

  • Bachelor’s degree in Human Resources Management, Psychology, Business Administration, or a related field.
  • Effective written and oral communication skills.
  • Excellent interpersonal skills with the ability to collaborate across teams.
  • Exposure to the Shipping or Maritime industry is highly advantageous.
  • Fluency in English, both written and spoken.
  • Minimum of 2 years of relevant experience in HR or administrative roles.
  • Proficiency in MS Word, MS Excel, MS PowerPoint, and Outlook.
  • Strong organizational skills with attention to detail.
