Our client is seeking a highly organised and communicative C-Suite Executive Assistant. This role offers the opportunity to work directly with one/two of the executive committee members, providing support in their day-to-day activities. Your excellent organisational skills will be put to use in managing schedules, coordinating communications, making travel arrangements, and keeping track of records and files. You'll also have the chance to contribute to tools and system management.

What you'll do:

As a C-Suite Executive Assistant, your role will be pivotal in ensuring smooth operations at the highest level of our client's organisation. You will act as a bridge between executives, employees, clients, and other external partners. Your responsibilities will include managing the executive committee members' calendar, setting up meetings, making travel arrangements, scheduling meetings with clients both internally and externally. Additionally, you will handle various modes of communication such as emails, phones, calendars, and diaries. Your ability to create presentation minutes for meetings, draft memorandums and familiarity with other corporate documents will be crucial in this role.

  • Act as the point of contact among executives, employees, clients, and other external partners
  • Manage the executive committee members' calendar and set up meetings
  • Make travel and accommodation arrangements
  • Schedule internal and external meetings with clients
  • Coordinate regarding office meetings, travel reimbursements, and contracts
  • Handle mode of communications such as emails, phones, calendars, and diaries
  • Handle correspondence on behalf of the executive committee member
  • Create presentation minutes for meetings, draft memorandum and be familiar with other corporate documents
  • Establish good relationships with other departments and other executives in the organisation as well as external stakeholders

What you bring:

The ideal candidate for this C-Suite Executive Assistant position brings a wealth of experience from similar roles. With at least five years under your belt as an Executive Assistant or Admin Assistant, you're no stranger to supporting high-level executives. Your outstanding organisational skills are matched by your excellent verbal and written communication abilities. You're comfortable communicating with both local and non-local nationals, and you're highly organised with a knack for prioritising effectively. Your knowledge of MS Office, particularly in creating documents and presentations, is top-notch.

  • At least five years of relevant experience as an Executive Assistant or Admin Assistant
  • Background in working for or with senior managers or CEO of non-local nationality
  • Outstanding organisational and time management skills
  • Excellent verbal and written communications skills
  • Ability to communicate with local and non-local nationals
  • Highly organised with effective prioritisation skills
  • Ability to represent the executive committee member on their behalf at all levels in the organisation
  • Knowledge in MS Office especially in documents and presentations with good numerical skills
  • Ability to uphold and respect confidentiality
