About the Role:

The main role of the HR Shared Services Administrator will be to manage the day-to-day HR activities such as issuing employee life paperwork, onboarding and offboarding processes, benefits administration, managing HR systems and reporting, payroll data preparation and other general administrative HR queries.

Responsibilities:

Employee Records and Compliance:

  • Maintain accurate and up-to-date employee records, ensuring all employment contracts and all changes and relevant information are filed, such as promotions, team changes, and absence related queries.
  • Ensure all right to work checks have been completed, liaise with necessary teams to see this has been complied with.
  • Prepare HR-related documents such as employment contracts, offer letters, internal change forms, regularization letters, promotion letters, leaver documents, etc.
  • Ensure compliance with data protection regulations and maintain confidentiality of employee information.
  • Ensure compliance with local labour laws and statutory requirements.
  • Support in internal and external audits, as required.

Data and Analytics:

  • Maintain the HRIS System (D365), ensuring employee information and changes are kept up to date.
  • Payroll data preparation.
  • Generate reports and analyse HR data as needed for management.

Employee Relations:

  • Manage the company and statutory leave process, i.e. start to end maternity, paternity, hospitalization, etc.
  • Respond to queries in the HR inbox in a timely manner.
  • Liaise with necessary teams such as other HR pillars, Legal, Finance, and Payroll when required.
  • Serve as a point of contact for benefits and payroll related queries and concerns.
  • Deliver a consistent HR service across the business.

Who you are:

  • Good communicative skills, written and verbal.
  • Good interpersonal skills to be able to trust and maintain positive relationships at all levels of the organisation.
  • Good understanding of local employment legislation.
  • Strong attention to detail when maintaining accurate data, documentation and any data related to employee information and processes.
  • Good time management skills when working towards deadlines and be able to offer HR support in a timely manner.
  • Proficient on software such as Microsoft and ideally knowledge of Microsoft Dynamics D365 HRIS and PowerBI.
