Our client is seeking a meticulous and dedicated Payroll Crew Controller to join their team. What you'll do:
As a Payroll Crew Controller, your role will be pivotal in managing all financial aspects for fleet personnel. You will be tasked with ensuring accurate and timely payment of crew salaries, handling payroll-related requests from vessels, and managing crew travel expenses. Your keen eye for detail will be crucial in reviewing and monitoring vessel accounts, managing seafarers loans, and handling personal saving fund withdrawal requests. Your strong communication skills will make you the go-to person for the accounting department for any crew-related issues. In this role, you will also have the responsibility of assisting the masters on board with crew payroll issues.
- Conduct monthly reconciliation of seafarers' payroll, ensuring all wage calculations, deductions, and payments align with company policies and wage scales.
- Ensure the accurate and timely processing of crew salaries by managing the payroll schedule through the PAL system, maintaining strict adherence to deadlines.
- Handle the administration of medical claims for the P&I, ensuring all documentation is accurately prepared and submitted, and prepare annual claims reports for insurance purposes.
- Monitor and manage seafarers' loan schedules, proactively alerting relevant parties to any deviations from the agreed-upon repayment plans and ensuring loans are repaid according to schedule.
- Oversee the management of crew travel expenses, ensuring all expenditures comply with company regulations and reimbursement standards, and processing expense reports efficiently.
- Review and monitor vessel bonded/slopchest accounts, ensuring all transactions comply with company policies and procedures, and address any discrepancies or irregularities.
- Serve as the first approver for manning agents' monthly disbursement accounts (D/A), meticulously verifying that all charges and expenses align with the terms outlined in the manning agreement and payment terms.
- Serve as the primary point of contact for payroll-related inquiries from vessels, promptly addressing and resolving any issues or discrepancies that arise.

The ideal candidate for the Payroll Crew Controller position is someone who pays strong attention to detail and has excellent communication skills. You should be comfortable working in a multicultural environment and have fluency in both written and verbal English. Excellent computer skills are essential for this role. A financial or administrative degree would be advantageous but not mandatory. Above all, you should have the ability to work under pressure.
- 5+ years of experience in payroll, financial control, or accounting within the shipping or maritime industry.
- Ability to manage medical claims for the P&I, including preparing and submitting annual claims reports for insurance purposes.
- Advanced knowledge of payroll systems, particularly experience with PAL system, ensuring accurate and timely processing of crew salaries.
- Expertise in managing and reconciling seafarers' payroll, including wage calculations, deductions, and compliance with company wage scales.
- Experience in handling seafarers' loan schedules, monitoring repayment plans, and alerting relevant parties to any deviations.
- Familiarity with Cash to Master (CTM) processes, including verifying cash balances onboard fleet vessels and arranging CTM supply accordingly.
- Proficiency in English, with strong communication skills to liaise with vessels, accounting teams, and external parties.
- Strong understanding of crew travel expenses, reimbursement standards, and vessel bonded/slopchest accounts, with experience in managing and monitoring these financial activities
