The Payroll Coordinator role demands a seasoned professional with a minimum of 5 years' experience in payroll processing, ideally within the shipping or marine industry. This position requires a meticulous understanding of payroll intricacies, including onboarding and offboarding compensation procedures, as well as expertise in computing seafarers' travel expenses.

What you'll do:

As a Payroll Coordinator, you will play a crucial role in setting up both offshore and ashore payrolls while ensuring compliance with social legislation. You will be responsible for preparing the monthly payroll, justifying variable elements such as new hires, tracking absences, managing end-of-contract changes, adjusting salaries or working hours, updating allowances or bank account details. Your role will also involve reviewing seafarers' travel expense reports, preparing headcount and salary reports, coordinating with the finance department for timely salary payments, distributing payslips to employees, ensuring correct tax contributions are made, and providing various payroll reports.

  • Compile and prepare detailed headcount and salary reports, providing accurate and timely information for management and financial review.
  • Ensure all social contributions and taxes are accurately calculated and remitted to the appropriate local institutions, maintaining compliance with local tax laws and regulations.
  • Establish and maintain both offshore and local payroll systems, ensuring compliance with relevant social legislation and regulatory updates.
  • Execute the monthly payroll process, including the justification and management of variable elements such as onboarding of new employees, tracking and recording of illness and absences, processing end-of-contract changes, position changes, salary adjustments, working time alterations, allowances, and updates to employee bank account information.
  • Examine and validate seafarers' Travel Expense Reports, ensuring adherence to established procedures and policies.
  • Generate and provide various payroll-related reports as required, including monthly, quarterly, and yearly payroll reports, as well as any ad hoc reports requested by management or other departments.
  • Partner with the finance department to ensure the timely and accurate disbursement of employee salaries, coordinating closely to meet all payroll deadlines.
  • Prepare and distribute payslips to both offshore and onshore employees, ensuring confidentiality and accuracy in the payroll information provided.

What you bring:

The ideal Payroll Coordinator candidate will bring previous experience from shipping or marine management companies. The ability to be flexible and adaptable in a fast-paced environment is also a key requirement for this role.

  • Accumulate a minimum of 5 years of extensive payroll processing experience, ideally within the shipping or marine domain.
