Our client is seeking a meticulous and dedicated Payroll Crew Controller to join their team. This role offers the opportunity to work in a multicultural environment, managing all finance aspects for fleet personnel. The successful candidate will be responsible for managing salaries, cash and general crew department expenses. This position requires strong communication skills, attention to detail, and the ability to work under pressure.

Representing ASM Maritime B.V., Robert Walters is seeking candidates on behalf of a premier global ship management company headquartered in Amsterdam, Netherlands. Specializing in the management of tanker and bulk vessels, ASM Maritime operates a robust fleet of 25 tanker vessels, 15 container ships, and a carrier. ASM Maritime offers a wide range of services such as technical management, recruitment, and crew management. Working with top manning agents, they ensure the highest quality of crew members, who they consider their most valuable and essential resource.

Expanding to the Philippines, ASM Maritime is currently hiring for the roles of Ship Owners, to kickstart their operations within the region. We are seeking experienced professionals for three distinctions within roles: Crew Controller, Claims Handler and Accountant.

What you'll do:

The Ship Owners will be the pivotal roles as an early team member to establish the operations in the Philippines based on three distinctions as Crew Controller, Claims Handler, or Accountant.

Crew Controller:

  • Manage and reconcile seafarers' payroll, loans, and medical claims, ensuring compliance with company policies, accuracy in documentation, and timely processing through the PAL system.
  • Oversee crew travel expenses, vessel bonded/slopchest accounts, and disbursement accounts (D/A), addressing discrepancies and maintaining compliance with company standards.
  • Serve as the primary point of contact for payroll-related inquiries, ensuring issues are resolved efficiently and maintaining strong communication with vessels.
  • Monitor repayment schedules, prepare annual claims reports, and enforce adherence to repayment plans and manning agreements.

Claims Handler:

  • Be part of the Emergency Response Team by managing incident-related claims, ensuring accurate reporting and compliance with policy terms.
  • Maintain and update claim and insurance policy records within the ERP and PAL systems, preparing detailed claim submissions and purchase orders for insurance-related expenses.
  • Collaborate with internal teams to evaluate and verify claims, assess liabilities, and prepare detailed reports for insurers.
  • Address queries from insurers and stakeholders, reconcile claim-related invoices, and ensure all known expenses are recorded accurately.

Accountant:

  • Review and process invoices for appropriate characteristics, documentation, and authorization, ensuring accurate recording and timely payments.
  • Create and maintain vendor/debtor master files, issue AR invoices, and manage inquiries while reconciling statements and resolving discrepancies.
  • Organize and maintain financial records, assist with month-end closings, and support the preparation of annual reports, audits, and financial statements.
  • Assist the controller in preparing monthly disbursement accounts, financial reports, and ad hoc accounting tasks, ensuring alignment with company policies and best practices.

What you bring:

To succeed in this role, you should possess either of three distinctions of the role: Crew Controller, Claims Handler, or Accountant. Candidates must have prior experience in either role within a global shipping company. Preference will be given to individuals with proven expertise in managing Tanker Vessels and Chemical Vessels.

  • Minimum of 5 years of experience in the Shipping or Maritime industry, on either of the related functions as Crew Controller, Claims Handler or Accountant.
  • Familiarity with Cash to Master (CTM) processes, including verifying cash balances onboard fleet vessels and arranging CTM supply accordingly.
  • Strong proficiency in English with excellent verbal and written communication skills to liaise with vessels, accounting teams, and external parties.
  • In-depth understanding of crew travel expenses, reimbursement standards, and vessel bonded/slopchest accounts, with experience in managing and monitoring these financial activities.
  • Proactive approach to tasks and problem-solving, with the ability to manage budget reports related to insurance-related costs.
  • Degree in Finance, Accounting, or a similar, with at least 2 years of relevant accounts payable (AP) experience
  • Familiarity with ERP systems.
