The Crewing Coordinator is responsible for managing and coordinating personnel appointments for assigned vessels to manage crew appointments, rotations, recruitment, appraisals, compliance, and budgets for vessels, ensuring smooth operations and data accuracy.

What you'll do:

As a Crewing Coordinator, you will play an integral role in ensuring smooth operations within our client's crewing management activities. You will be responsible for assisting in various tasks such as planning appointments of personnel to vessels, preparing crew rotation plans, monitoring recruitment processes, implementing crew changes, following up on performance appraisals, ensuring compliance with legislations and agreements, managing seafarer data, preparing budgets and monitoring claims. Your ability to adapt quickly in a fast-moving environment will be key to your success in this role.

  • Accurately enter all relevant seafarer data into the Personnel System Platform (PSP), ensuring data integrity and accessibility.
  • Assist in the planning and appointment of personnel to assigned vessels, ensuring alignment with procedures, agreed terms and conditions of employment, and specified experience, training, and qualification matrices.
  • Ensure that manning levels of assigned vessels comply with relevant international and Flag State legislation and union agreements, maintaining operational and legal standards.
  • Implement and follow-up on Seafarers’ Performance Appraisals, maintaining close liaison with the relevant reporting officer to ensure accurate and timely evaluations.
  • Monitor crew Protection & Indemnity claims, providing assistance to relevant departments as required to ensure proper handling and resolution.
  • Monitor the seafarer recruitment processes utilized by the Company and Manning Agencies, providing proactive advice and support to colleagues to ensure efficient recruitment operations.
  • Plan, implement, and control crew changes, making appropriate arrangements in compliance with Company procedures, international standards, and within budgetary constraints.
  • Prepare annual crew rotation plan for assigned vessels under the guidance of the Crewing Manager, ensuring seamless crew transitions.
  • Prepare crew budgets and monitor adherence through effective cost control, ensuring financial efficiency in crew management operations.

What you bring:

The ideal Crewing Coordinator candidate brings previous experience working in shipping or marine management companies, and your strong communication skills allow you to effectively liaise with various stakeholders. Your excellent organisational and planning skills, coupled with your proficiency in Excel, enable you to manage tasks efficiently. Above all, your flexibility and adaptability allow you to thrive in a fast-moving environment.

  • Accumulate a minimum of 5 years' extensive Crewing experience, showcasing depth of knowledge.
  • Comprehensive understanding of international legislation and union agreements governing crewing.
  • Demonstrate mastery in precisely inputting data into the Personnel System Platform (PSP).
  • Display competence in effectively managing and resolving intricate P&I claims.
  • Exemplify proficiency in conducting thorough and insightful Performance Appraisals.
  • Exhibit outstanding communication and organizational acumen, indispensable for efficient operational oversight.
  • Exhibit proficiency in formulating and rigorously monitoring crew budgets with precision.
  • Possess the capability to efficiently oversee and administer comprehensive recruitment procedures.
  • Showcase adeptness in orchestrating seamless crew rotations and meticulously managing changes.
