We are seeking highly organized and detail-oriented Recruitment Administrator to join our Global Business Services (GBS) Acceleration Program in Manila.

This role is part of an agile, cross-functional initiative designed to support the rollout and stabilization of new global services within the Robert Walters GBS model. As a Recruitment Administrator in this early-stage team, you’ll play a critical role in operationalizing recruitment support processes for our global offices, while helping to shape how these services will eventually scale across the organization.

You will contribute to candidate sourcing, record management, compliance, job administration, and stakeholder collaboration—ensuring operational excellence from day one and supporting the transition of services into long-term GBS structures.

About the GBS Acceleration Program

This role is part of the GBS Acceleration Program, a dedicated environment for piloting and maturing new services within our global business services function.

Team members in this program play a pivotal role in establishing scalable processes, building knowledge bases, and shaping the long-term direction of services that will eventually integrate into our core GBS structure.

As services stabilize and mature, team members may have the opportunity to transition into specialized functions or help acceleration additional new services within the GBS model.

Responsibilities:

Candidate Sourcing & Engagement

  • Proactively identify, attract, and engage new candidates for future hiring needs through job boards, LinkedIn, referrals, and other sourcing channels.

  • Re-engage legacy candidates to assess current status and interest in new opportunities.

  • Conduct initial searches and longlists based on job specifications and role profiles.

Candidate Data Management

  • Accurately record candidate data, including consent documentation, record creation, CVs, interview notes, and salary expectations.

  • Maintain up-to-date contact and career details.

  • Archive or anonymize outdated records in compliance with global data protection regulations (e.g., GDPR).

Job Administration & Compliance

  • Create and maintain job records and supporting documentation (job descriptions, client agreements, contracts).

  • Write compelling job specifications tailored to different markets and post to relevant platforms.

  • Screen incoming applications for role fit.

Interview Coordination & Candidate Communication

  • Schedule interviews and communicate application status to candidates.

  • Format candidate CVs to meet client presentation standards.

Regulatory Compliance & Background Checks

  • Support background checks, right-to-work validation, and other regulatory processes.

  • Guide candidates through document completion and ensure secure storage per policy.

  • Record contractor/temporary worker information in payroll systems as needed.

Collaboration & Quality Assurance

  • Partner with global recruitment consultants to ensure support aligns with regional needs.

  • Maintain high accuracy and quality across all data, documentation, and compliance tasks.

Key Requirements & Personal Attributes

  • Experience in recruitment operations, admin support, or compliance is a plus; fresh graduates with strong organizational skills are welcome.

  • Strong English communication skills, both written and verbal.

  • Meticulous attention to detail, with the ability to manage high volumes of information.

  • Familiarity with recruitment platforms (LinkedIn Recruiter, job boards, ATS) is advantageous.

  • Understanding of employment compliance (background checks, right-to-work) is a bonus.

  • Strong writing skills for job ads and candidate communication.

  • Proactive, adaptable mindset and enthusiasm for process improvement.

  • Comfortable working independently and across global teams.
