About the Role:
The Contract Payroll Admin Team Leader is responsible for delivering accurate and timely payroll and invoicing support for the day-to-day operations of regional local contract payroll teams. The role oversees task allocation, monitors deadlines, ensures the accuracy of work outputs, and drives process improvements to enhance overall team performance. Working closely with the Manila GSC Finance team and other regional stakeholders, the Team Leader ensures seamless collaboration and provides consistent, high-quality administrative support across all regions. The position upholds efficiency, reliability, and strict adherence to established procedures.
Additionally, the Team Leader tracks and documents team member performance and serves as a primary point of contact for escalations, ensuring issues are resolved promptly and effectively.

Contract Payroll Admin Team Responsibilities
The Contract Payroll Admin Team supports accurate and timely payroll and invoicing activities by preparing and validating payroll documents, ensuring timely and accurate data entry (timesheets, overtime, leave, expenses, and other payroll transactions), preparing and submitting client-specific invoice packages, maintaining up-to-date contractor data in payroll systems, completing daily administrative tasks assigned by local/regional payroll teams, and ensuring full compliance with established procedures.
Key Responsibilities of the Contract Payroll Admin Team Leader:
1. Team Leadership, Coordination & Performance Management
- Lead and manage the Contract Payroll Admin Team, ensuring alignment with company goals and finance procedures.
- Coordinate with local/regional payroll teams to ensure smooth payroll and invoicing support.
- Assign tasks and manage team workloads to meet deadlines.
- Participate in recruitment, onboarding, and training of team members, ensuring smooth integration.
- Provide coaching, guidance, and feedback to develop team capabilities.
- Monitor and manage team performance to ensure KPIs and quality standards are achieved.
2. Quality Assurance, Compliance & Documentation
- Review payroll and invoicing outputs for accuracy, completeness, and timeliness.
- Ensure adherence to payroll procedures, company policies, and audit requirements.
- Maintain up-to-date documentation, process guides, and performance records.
- Ensure confidentiality of sensitive payroll and contractor information.
- Support internal and external audits by providing necessary documentation and responding to auditor requests.
3. Process Improvement & Capability Building
- Identify opportunities to streamline payroll and invoicing processes.
- Collaborate across regions to implement improvements that enhance accuracy, efficiency, and scalability.
- Facilitate training, knowledge sharing, and skill development within the team.
- Drive initiatives to develop best practices, workflows, and tools in a newly established team environment to improve efficiency, accuracy, and service quality.
4. Issue Resolution & Stakeholder Engagement
- Act as the main escalation point for processing or communication issues.
- Investigate, coordinate and resolve issues promptly with stakeholders.
- Maintain regular communication with local/regional payroll teams and Manila GSC Finance.
- Provide updates and reports on team performance, risks and escalations.
Who you are:
- Proven experience and strong understanding in end to end payroll and data management process, with at least 3 years’ in a supervisory or team leader capacity.
- Good to have knowledge of reginal/global payroll regulations and employment labor law.
- Good to have experience in payroll system – Ramco, Proficiency in MS Office.
- Strong leadership, coaching and team management skills.
- Excellent problem-solving, communication and interpersonal skills.
- Detail-oriented, proactive and process-focused with strong organizational skills.
- Ability to work under pressure and meet deadlines.
- Ability to handle confidential information with integrity.
