About the role:
We are seeking a strong team player with excellent administrative and communication skills for the role of Invoicing Administrator at Robert Walters. The Invoicing Administrator will be responsible for processing and managing invoices for the company. This includes verifying and reconciling invoices, ensuring data accuracy, and communicating with vendors and internal departments to resolve any discrepancies. The successful candidate must possess a strong "can do" approach while having the ability to work autonomously. A high standard of attention to detail, excellent organizational skills, and the ability to work in a fast-paced environment are essential.
Responsibilities:
Invoice Processing and Management:
- Process and manage all company invoices, ensuring compliance with company policies and procedures.
- Verify and reconcile invoice details, including amounts, dates, and vendor information, to ensure accuracy before processing.
- Maintain organised records of all invoices and related documentation for easy retrieval and audit purposes.
Data Entry and Upload:
- Perform data entry tasks to upload invoice information into the company's invoicing platform.
- Ensure data accuracy and consistency on the company’s invoicing system.
- Regularly update and maintain invoicing database to reflect current and accurate information.
Client and Vendor Support:
- Address and resolve client and vendor questions and issues related to invoices in a timely and professional manner.
- Communicate effectively with clients and vendors to provide clear explanations and solutions to invoicing concerns.
- Collaborate with other departments to resolve any discrepancies or issues that may arise during the invoicing process.
Accounting Team Support:
- Provide support to the accounting team as needed, including assisting with month-end and year-end closing processes.
- Assist in the preparation of financial reports and statements related to invoicing activities.
- Participate in team meetings and contribute to process improvement initiatives.
