Our client is seeking a highly organised and dependable Executive Assistant & Office Manager to join their team in Manila. This role involves performing diversified administrative duties for the leadership team, meeting and calendar management, coordination of travel schedules, monthly time and expense reporting, and other related duties as required. The successful candidate will also act as an Office Manager, providing administrative support for office services matters.

What you'll do:

As an Executive Assistant & Office Manager, your role will be pivotal in ensuring smooth operations within the company. Your excellent organisational skills will be put to use in coordinating calendars, scheduling meetings, maintaining databases, and managing travel arrangements. You will also be responsible for typing and proofing correspondence as well as maintaining filing systems. Your ability to collaborate effectively with other Executive Assistants across SEA will ensure comprehensive secretarial coverage and general team support. Additionally, you will prepare meeting rooms for stakeholder meetings and assist with administration and logistical support for interviews.

  • Coordinate calendars and schedule meetings, resolving scheduling conflicts as they arise
  • Receive, screen and/or route all incoming telephone calls, mail, publications and correspondence where necessary
  • Maintain stakeholders’ contact database in Outlook and CRM database
  • Coordinate detailed travel arrangements with internal and external agencies including air, hotel, car, etc.
  • Type and proof correspondence including letters, memos, documents and reports as required
  • Maintain filing systems and up-to-date paper and electronic files
  • Collaborate with other Executive Assistants in SEA to provide secretarial coverage and general team support
  • Prepare the meeting room for the stakeholders’ meeting and clean out the meeting rooms after the meetings

What you bring:

The ideal candidate for the Executive Assistant & Office Manager position brings a wealth of experience along with a Bachelor's degree or equivalent. With at least 5 years of direct executive secretarial experience under your belt, you are adept at managing multiple tasks simultaneously while maintaining meticulous attention to detail. Your outstanding written and verbal communication skills enable you to interact effectively at all levels within the organisation. You are comfortable working independently and as an integral member of various teams. Your strong organisational skills, ability to meet deadlines, and handle highly confidential information will be key to your success in this role.

  • Bachelor’s degree or an equivalent combination of education, training and experience
  • A minimum of 5 years direct executive secretarial experience
  • Outstanding written and verbal communication skills, with proficiency in English
  • Ability to work independently and as an integral member of various teams
  • Strong organizational and communication skills
  • Meticulous attention to detail
  • Ability to meet deadlines, prioritize assignments, juggle multiple tasks simultaneously and deal with highly confidential information
  • Strong proficiency in Microsoft Windows, Word, Excel, PowerPoint and Outlook
