An exciting opportunity has arisen for a Crew Assistant to join a reputable maritime organisation in Makati, where you will play a pivotal role in supporting the smooth operation of fleet crew management.
What you'll do:
As a Crew Assistant, you will be at the heart of the crew department’s daily operations.
- Coordinate and plan briefing schedules for senior officers, including all related logistics to ensure seamless transitions and effective communication across teams.
- Organise crew trainings in partnership with manning agents while meticulously maintaining comprehensive training records for all personnel.
- Monitor crew appraisals closely and assign relevant training sessions based on performance reviews and identified development needs.
- Maintain the crewing system by updating information regularly and ensuring data accuracy for all crew members.
- Review personal files of new applicants thoroughly to verify credentials and support recruitment processes efficiently.
- Scan important documents such as licenses, certificates, and logbooks as required to maintain up-to-date digital records accessible to authorised personnel.
- Keep detailed records of doctors’ visits by seafarers, ensuring that medical histories are accurately documented for future reference.
- Manage the process of arranging seniority gifts for eligible crew members as part of the company’s recognition programme.
- Apply for flag state documents on behalf of crew members, monitor expiry dates of Flag CRA certifications, follow up on pending applications, and arrange delivery of documents to vessels or individuals as needed.
- Approve invoices related to flag documents and monitor the medical insurance programme for seafarers to ensure continuous coverage.
