An exciting opportunity has arisen for a Crew Coordinator to join a reputable organisation in Cebu, where your expertise will play a pivotal role in ensuring the smooth and compliant operation of crewing activities.

What you'll do:

As a Crew Coordinator based in Cebu, you will play an integral role in supporting vessel operations by managing a wide range of crewing activities.

  • Assist in planning the appointment of personnel to assigned vessels by following established procedures, agreed terms and conditions of employment, as well as specified experience, training, and qualification matrices.
  • Support the Crewing Manager in preparing comprehensive 12-month forward-looking crew rotation plans for designated vessels, ensuring optimal staffing levels at all times.
  • Monitor seafarer recruitment processes used by both the company and external manning agencies, offering proactive advice and support to colleagues to foster strong professional relationships.
  • Plan, implement, and control crew changes by making appropriate arrangements that comply with company procedures, international standards, and budgetary constraints.
  • Participate actively in implementing and following up on Seafarers’ Performance Appraisals by maintaining close liaison with relevant reporting officers and ensuring accurate input of appraisal reports into PSP systems.
  • Ensure that assigned vessels maintain manning levels in accordance with international regulations, Flag State legislation, union agreements, and vessel maintenance needs by collaborating closely with Marine Superintendents.
  • Accurately enter all relevant seafarer data into PSP systems to maintain up-to-date records essential for operational efficiency.
  • Assist in preparing crew budgets while monitoring adherence through effective cost control measures to ensure financial responsibility across crewing operations.
  • Support the monitoring of crew P&I claims by assisting relevant departments as required to facilitate timely resolution of issues.
  • Help verify invoices received from suppliers under the guidance of the Crewing Manager to ensure accuracy and compliance with contractual agreements.

What you bring:

To excel as a Crew Coordinator, you will bring proven experience from previous roles within shipping or marine management environments—experience that equips you with an understanding of industry-specific challenges.

  • Previous experience working within shipping or marine management companies is desirable as it provides valuable industry insight for this position.
  • Excellent oral and written communication skills are essential for interacting effectively with colleagues at all levels within the organisation.
  • A strong awareness of cultural and diversity issues is important for fostering an inclusive environment where everyone feels respected.
  • Outstanding organisational and planning skills enable you to manage multiple tasks efficiently while meeting deadlines consistently.
